Shootr.app Schools Terms

These Schools Terms apply to schools and educational establishments that apply for, hold, or use a Shootr.app schools access arrangement, including the purchase and assignment of school seats for the Vantage service.
These Schools Terms apply in addition to the Shootr.app Terms and Conditions and Privacy Policy. Where these Schools Terms conflict with the general Terms and Conditions in relation to school seat access, these Schools Terms apply for that access.

1. Definitions
In these Schools Terms:
- "Shootr.app", "we", "us", or "our" means the Shootr.app family of websites, apps, products, and services.
- "Vantage" means the Shootr.app service for personal shooting plotsheet tracking, OCR-assisted data entry, analytics, AI-assisted coaching, and optional group sharing.
- "School" means the educational establishment applying for or using school access.
- "School Administrator" means a person authorised by the School to manage school access and seat assignments.
- "Seat" means a time-limited entitlement that allows one eligible pupil to access paid Vantage features during the applicable licence period.
- "Licence period" means the period during which a Seat is valid, as shown at the time of purchase or invoice.
2. Eligibility and approval
School access is available to educational establishments that operate, support, or supervise a target shooting programme.
Access is approval-based and is granted at our sole discretion.
Seats may only be assigned to currently enrolled pupils of the School who:
- are aged 13 years or over;
- are eligible to take part in the relevant shooting activity under the School's own rules, safeguarding arrangements, and applicable sport, range, or governing-body requirements.
We may refuse, suspend, or withdraw school access if we reasonably believe that the School does not meet the eligibility requirements, has provided inaccurate information, or is using the schools access programme in a way that is inconsistent with these Schools Terms.
3. School Administrator accounts
The School must appoint at least one responsible School Administrator to manage the School's account and seat assignments.
The School is responsible for ensuring that each School Administrator is authorised to act on behalf of the School and for keeping administrator details up to date.
School Administrators must keep their sign-in method secure and must not share administrator access with pupils or unauthorised staff.
The School is responsible for all seat assignments, removals, and administrative actions carried out through its School Administrator accounts.
If a School Administrator leaves the School or no longer requires access, the School must remove or replace that administrator as soon as reasonably practicable.
4. Seat licences
Seats are purchased on a non-recurring basis for the licence period stated at the time of purchase or invoice.
Unless otherwise stated, a school seat licence runs for a fixed academic-year licence period from 1 September to 31 August.
Seats do not auto-renew. The School must purchase new seats for any future licence period in which it wishes pupils to continue receiving school-funded paid access.
Seats are not prorated unless we expressly agree otherwise in writing.
Seats may be reassigned by an authorised School Administrator to different eligible pupils during the licence period, provided that each Seat is assigned to no more than one pupil at any one time.
Seats are for use by the purchasing School only. They may not be resold, transferred to another organisation, or assigned to anyone who is not a current eligible pupil of the School.
5. Payment, pricing, and taxes
Prices for school seats will be shown at the point of purchase, quotation, or invoice.
We may change school pricing for future licence periods, but pricing changes will not reduce the licence period for Seats already purchased.
Unless stated otherwise, fees are payable in advance and are non-recurring.
The School is responsible for any applicable taxes, duties, or payment charges unless these are expressly included in the price shown.
Access to paid school Seats may be withheld, suspended, or removed if payment is not received or if a payment is reversed, disputed, or cancelled.
6. School responsibilities
The School is responsible for:
- ensuring that Seats are only assigned to current eligible pupils;
- ensuring that School Administrator accounts are used appropriately;
- ensuring that pupils use the Services in accordance with these Schools Terms and the Shootr.app Terms and Conditions;
- obtaining any internal permissions, approvals, notices, or consents required by the School's own policies, safeguarding arrangements, parental communication processes, or applicable law before assigning Seats to pupils;
- promptly revoking a pupil's Seat if the pupil leaves the School, is no longer eligible to participate in the relevant programme, or should no longer receive school-funded paid access.
7. Safeguarding, sport safety, and supervision
Vantage is a record-keeping and analytics platform. It does not replace qualified coaching, range supervision, safeguarding procedures, medical advice, risk assessments, or compliance with applicable shooting rules and range instructions.
The School remains responsible for the supervision, safety, welfare, and safeguarding of pupils participating in shooting activities.
The School must ensure that all use of Vantage by its pupils and staff is consistent with the School's own safeguarding policies and the requirements of any relevant governing body, range, club, or event organiser.
8. Acceptable use
The School must ensure that School Administrators and pupils do not misuse the Services. This includes, without limitation:
- attempting to access another school's data;
- sharing sign-in credentials;
- uploading unlawful, harmful, or inappropriate content;
- interfering with the operation of the Services;
- attempting to bypass access controls;
- using the Services for purposes unrelated to legitimate shooting record-keeping, training, analysis, or school programme administration.
We may suspend or restrict access where we reasonably believe that the Services have been misused, that an account has been compromised, or that continued access may create a security, legal, safeguarding, or operational risk.
9. Pupil accounts and communications
A pupil may be required to create or use a Vantage account in order to receive school-funded paid access.
The School's assignment of a Seat does not give the School ownership of the pupil's personal account unless otherwise agreed in writing.
We may send essential transactional emails to pupils or School Administrators in connection with account access, Seat assignment, Seat expiry, security, or operation of the Services. Pupil email addresses provided through the schools access programme will not be used for marketing emails.
If a Seat is revoked or expires, the pupil's school-funded paid access will end. The pupil may continue to have access to any free Vantage account features that are available at that time, unless the account is otherwise closed or restricted under the Shootr.app Terms and Conditions.
10. Data protection and privacy
The School is responsible for deciding which pupils are assigned Seats and for ensuring that it has an appropriate lawful basis for providing pupil details to us for that purpose.
We will process pupil school email addresses and Seat allocation data only as needed to provide, administer, secure, and support the schools access programme, except where we are required to process data for our own legal, security, or business administration purposes.
Where we process personal data on behalf of the School as a processor, that processing will be governed by any applicable Data Processing Agreement we agree with the School in writing. Where we process personal data as a controller, including for our own account administration, billing, security, support, and legal compliance, we will do so in accordance with our Privacy Policy.
The School must provide appropriate privacy information to pupils and, where required by the School's own policies or applicable law, to parents or guardians. We will make available privacy information explaining how the Services use personal data through our Privacy Policy.
We will not sell pupil personal data and will not use pupil email addresses provided through the schools access programme for advertising or marketing.
11. Scorecard and performance data
Vantage may allow pupils, School Administrators, or authorised users to record, upload, view, or analyse shooting scorecards and related performance information.
The School is responsible for ensuring that any such use is appropriate for its shooting programme and consistent with the School's own policies.
We may process scorecard and performance data as needed to provide Vantage features, including storage, display, filtering, analytics, backups, security, troubleshooting, and support. We do not claim ownership of scorecard data uploaded by pupils or schools.
The School should not upload, or require pupils to upload, unnecessary sensitive personal information to Vantage. Vantage should be used for shooting record-keeping and analysis, not as a general pupil record system.
12. Security and access controls
We will use reasonable technical and organisational measures designed to protect school and pupil data against unauthorised access, loss, misuse, or alteration.
The School acknowledges that no online service can be guaranteed to be completely secure or continuously available.
The School must notify us promptly if it becomes aware of any unauthorised access, suspected account compromise, incorrect Seat assignment, or other security issue relating to its use of the Services.
13. Availability, support, and changes to the service
We will use reasonable efforts to keep the Services available and functioning, but we do not guarantee uninterrupted or error-free access.
The Services may be unavailable from time to time due to maintenance, updates, technical issues, third-party service failures, or circumstances outside our reasonable control.
We may improve, modify, replace, or remove features of the Services from time to time. Where a change materially affects paid school Seat access during an active licence period, we will use reasonable efforts to provide notice or an appropriate alternative.
14. Refunds and cancellations
Seat purchases are non-refundable by default, including where Seats are unused, only partly used, or reassigned during the licence period.

The School may stop assigning or using Seats at any time, but this will not automatically entitle the School to a refund unless we have expressly agreed otherwise in writing.
15. Suspension and termination
We may suspend or terminate school access immediately if the School:
- materially breaches these Schools Terms;
- fails to pay amounts due;
- misuses the Services;
- assigns Seats to ineligible users;
- creates a legal, security, safeguarding, or operational risk.
On expiry or termination of a school licence period, school-funded paid access will end for the affected Seats. The handling of personal data following termination will be governed by our Privacy Policy and, where applicable, any Data Processing Agreement agreed with the School.
16. Liability
Nothing in these Schools Terms limits or excludes liability where it would be unlawful to do so, including liability for fraud or fraudulent misrepresentation, or for death or personal injury caused by negligence.
Subject to the above, we will not be liable for indirect or consequential losses, loss of profits, loss of opportunity, loss of goodwill, or losses arising from the School's failure to manage Seat assignments, account access, safeguarding, supervision, or shooting safety appropriately.
Our total liability arising out of or in connection with the schools access programme will not exceed the amount paid by the School for the affected Seats during the licence period in which the claim arose, unless a different limit is required by law.
17. Changes to these Schools Terms
We may update these Schools Terms from time to time. Where changes materially affect an active school licence, we will use reasonable efforts to notify the School.
Continued use of the schools access programme after notification of changes constitutes acceptance of the revised Schools Terms.
18. Governing law
These Schools Terms are governed by the laws of England and Wales.
The courts of England and Wales will have exclusive jurisdiction over disputes arising out of or in connection with these Schools Terms, unless applicable law requires otherwise.
