Shootr.app Privacy Policy

This Privacy Policy explains how the Shootr.app family of websites, apps, products, and services uses personal information.
It applies to Shootr.app services including Vantage, Shootr Competitions, and Plotsheets.
For the purposes of this policy:
- "Shootr.app", "we", "us", or "our" means the Shootr.app family of websites, apps, products, and services.
- "Services" means Shootr.app websites, apps, products, and services.
- "Vantage" means the Shootr.app service for personal shooting plotsheet tracking, OCR-assisted data entry, analytics, AI-assisted coaching, and optional group sharing.
- "Shootr Competitions" means the Shootr.app service for competition entry, organiser workflows, scoring, results, and event administration.
- "Plotsheets" means the Shootr.app tool for generating, customising, exporting, and printing shooting plotsheets.

1. Information we collect
We collect and process information that you provide, information generated when you use the Services, and information received from service providers that help us operate the Services.
Account and sign-in information
We may collect:
- your email address;
- your name, if provided;
- sign-in, session, and authentication information;
- one-time passcode activity;
- account status and entitlement information;
- subscription, trial, managed-seat, event-entry, organiser, or premium-access status.
Some Services use Firebase Authentication. When you sign in, we may use your email address to send a one-time passcode and create an authenticated session.
Product and user-generated information
Depending on the Service you use, we may collect:
- plotsheet records;
- scores and shot values;
- fall-of-shot coordinates;
- elevation, wind, and sight-setting information;
- sighters, conversions, notes, and corrections;
- distances, targets, ranges, locations, dates, and shoot-specific details;
- equipment information, such as rifle and ammunition details;
- journal entries;
- event entry information;
- squadding/detail information;
- score-entry and results information;
- group sharing information;
- managed seat or organisation assignment information;
- Plotsheets settings, preferences, and saved favourites or presets.
Images and scans
Some Services may store or process images, including:
- plotsheet images;
- scannable card images;
- scorecard images;
- extracted or processed image regions;
- images used for OCR, alignment, enhancement, verification, or event evidence.
Organisation and managed-access information
Where a school, organisation, club, team, or event organiser uses a Shootr.app service, authorised administrators may provide:
- assigned-user names;
- assigned-user email addresses;
- seat-assignment or entry information;
- organisation account information;
- administrator or manager contact details.
Administrators use this information to assign access and manage their programme.
Payment and subscription information
Payments are processed by Stripe.
Shootr.app does not store your full card details. Stripe may process payment information, billing information, transaction records, and related details in accordance with Stripe's own terms and privacy policy.
We may store subscription status, trial status, payment status, Stripe customer or subscription identifiers, and related entitlement information so that the Services can provide the correct level of access.
Technical, usage, and analytics information
When you use the Services, we may collect technical and usage information, including:
- device and browser information;
- IP address and approximate location;
- pages visited and features used;
- performance, error, and diagnostic logs;
- security and abuse-prevention logs;
- interactions with pages and features;
- session and usage analytics.
We use tools including Vercel and Microsoft Clarity. Microsoft Clarity and similar tools may provide session insights, heatmaps, interaction data, or similar behavioural analytics.
We may add, remove, or change analytics, monitoring, and infrastructure providers over time.
2. How we use information
We use information to provide, operate, secure, maintain, and improve the Services.
This includes using information to:
- create and manage accounts;
- authenticate sign-in;
- send one-time passcodes;
- provide plotsheet, scorecard, event, and user-data storage;
- process uploaded or captured images;
- pre-populate fields using OCR or handwriting recognition;
- provide analytics, charts, exports, and review tools;
- enable group sharing and group-manager access;
- manage managed seats, organisation access, and premium entitlements;
- administer events, entries, squadding, scoring, and results;
- generate, customise, save, and export plotsheets and presets;
- process payments, subscriptions, trials, and cancellations;
- provide support and respond to enquiries;
- detect, prevent, and investigate misuse, abuse, security incidents, or technical issues;
- debug, test, maintain, and improve the Services;
- develop and improve OCR, handwriting recognition, analytics, AI features, scoring tools, and related features.
3. OCR and image processing
When you upload, capture, or scan plotsheets, scorecards, or related images, we may process those images to extract scores, handwritten values, fall-of-shot information, or other relevant information.
This may include sending images to Google Cloud Vision for OCR.
We may also process images using Google Cloud Run services operated for Shootr.app, for example to align, rectify, crop, enhance, or prepare images for recognition.
OCR and image-processing features are provided to support data entry, scanning, scoring, analytics, and verification features.
4. AI features
Some Services may offer AI-assisted coaching, analysis, summaries, or support features.
Where these features are used, we aim to minimise the information sent for analysis.
For Vantage AI Coaching, we may send shooting-performance information such as:
- fall-of-shot coordinates;
- sight settings;
- distances;
- target details;
- wind or elevation context;
- other relevant shooting-performance settings.
We do not intentionally send names, email addresses, account identifiers, or uploaded plotsheet images to OpenAI for the Vantage AI Coaching feature.
AI features are intended to support training, analysis, or service operation. They are not a substitute for human judgement, safety procedures, competition rules, equipment advice, or professional advice.
5. Model training and service improvement
We may use anonymised, de-identified, or aggregated information to improve the Services, including OCR, handwriting recognition, analytics, AI features, model training, testing, debugging, and service quality.
This may include:
- handwriting samples;
- extracted plotsheet or scorecard values;
- shooting-performance patterns;
- equipment metadata;
- usage patterns;
- event statistics;
- aggregated analytics.
Where possible, we remove direct account identifiers before using information for these purposes.
6. Sharing information
We do not sell personal information.
We may share or make information available in the following ways.
With service providers
We use third-party providers to operate the Services, including:
- Google / Firebase — authentication, Firestore database, Firebase Storage, and related infrastructure;
- Google Cloud Vision — OCR processing;
- Google Cloud Run — image-processing and service infrastructure;
- Stripe — payments, subscriptions, billing, and transaction processing;
- Vercel — hosting, deployment, performance monitoring, logs, and analytics;
- Microsoft Clarity — behavioural analytics and session insights;
- OpenAI — AI coaching and analysis features;
- email providers — one-time passcodes, transactional emails, and service messages.
These providers process information as needed to provide their services to Shootr.app and the Services.
With groups you choose to share with
In Vantage, plotsheets are private by default.
If you share a plotsheet with a group, authorised group managers can view that shared plotsheet and related information.
You can unshare plotsheets at any time using the tools provided in Vantage. Once unshared, the plotsheet will no longer be available to those group managers through the group view.
Previously exported, downloaded, copied, discussed, or otherwise retained information may remain outside Vantage.
With schools or organisations
Where a school, organisation, club, team, or event organiser provides managed access, administrators may manage assignments using user names and email addresses.
Administrators do not automatically receive access to a user's shooting data, plotsheets, or uploaded images merely because they assign access. They can only see plotsheets where the user has chosen to share those plotsheets with a group managed by that organisation.
With competition organisers and event participants
If you enter or administer a competition through Shootr Competitions, relevant information may be shared with event organisers, deputies, scorers, administrators, and other authorised helpers.
Depending on the event and organiser settings, your name, club, school, team, entry details, squadding, scores, rankings, prize information, and results may be visible to other competitors, spectators, or the public.
Certain competition records may be retained long-term or permanently as part of the historical record of an event.
For legal, safety, security, or misuse reasons
We may disclose or preserve information where we reasonably believe it is necessary to:
- comply with law or legal requests;
- protect the Services, Shootr.app, users, schools, organisers, or others;
- investigate security incidents or misuse;
- respond to safeguarding, privacy, trust, or abuse concerns;
- enforce our Terms and Conditions;
- prevent fraud, unauthorised access, or technical harm.
7. Cookies, analytics, and similar technologies
The Services may use cookies, local storage, session storage, scripts, analytics tools, or similar technologies to:
- keep you signed in;
- remember preferences;
- provide security features;
- operate the Services;
- understand usage;
- monitor performance;
- improve the user experience;
- diagnose errors.
Some technologies are necessary for the Services to work. Others, such as analytics or behavioural tools, may be used to understand how the Services are used and how they can be improved.
We currently use tools including Vercel Analytics and Microsoft Clarity. We may add, remove, or change analytics providers over time.

8. Emails and communications
We may send transactional or service-related emails, such as:
- one-time passcodes;
- account emails;
- payment or subscription emails;
- trial and entitlement emails;
- event entry emails;
- organiser emails;
- managed-access emails;
- security notices;
- support replies;
- important service updates.
We do not currently send marketing newsletters.
9. Data retention
We keep information for as long as reasonably needed to provide the Services, maintain accounts, comply with legal obligations, resolve disputes, prevent abuse, maintain security, preserve event records where applicable, and operate the Services.
Some Services provide tools to delete certain data.
For Vantage, users can delete certain data, such as plotsheets, using the deletion tools provided in the service.
If you want to close your account or request deletion of account-level information, contact:
We may retain limited records where needed for legal, security, accounting, fraud-prevention, dispute-resolution, backup, event-record, or service-integrity purposes.
Where data is deleted from the live service, copies may remain for a limited period in backups, logs, audit records, or security records before being deleted or overwritten in the ordinary course of system maintenance.
Some competition records may be retained long-term or permanently as part of the historical record of an event.
10. Exporting your data
Some Services provide tools to export or download data.
Vantage provides tools to export or download certain data, including CSV and PDF exports.
Once you export or download data from the Services, you are responsible for how you store, protect, use, or share that copy.
11. Your rights
Depending on your location and the circumstances, you may have rights in relation to your personal information, including rights to:
- access your personal information;
- correct inaccurate information;
- request deletion;
- restrict or object to certain processing;
- request a copy of your information;
- withdraw consent where processing is based on consent;
- complain to a data protection authority.

Some rights may be limited where information forms part of a historical competition record, legal record, security record, backup, audit trail, or other record that we are entitled or required to retain.
12. Children and young users
The Services are generally intended for users aged 13 or over.
If you are under 18, you should use the Services only with the involvement or permission of a parent, guardian, school, club, coach, organiser, or other responsible adult where appropriate.
We do not knowingly provide accounts to children under 13. If we become aware that we have collected personal information from a child under 13 without appropriate permission, we may delete the account or associated information.
13. Security
We use technical and organisational measures designed to protect information stored in the Services.
However, no online service can be guaranteed to be completely secure.
You are responsible for keeping access to your email account secure where email-based sign-in or one-time passcodes are used.
You should contact us at feedback@shootr.app if you believe your account or data may have been accessed without authorisation.
14. International processing
Some of our service providers may process information in countries outside the United Kingdom.
Where this happens, we rely on appropriate safeguards or the arrangements provided by those service providers to support lawful processing.
15. Product-specific privacy information
A. Vantage
Vantage is private by default.
Your plotsheets, uploaded images, journal entries, equipment details, and analytics are visible only to you unless you choose to share plotsheets with a group or otherwise export/share information.
If you share a plotsheet with a group, authorised group managers can view that plotsheet and related data.
Where a school or organisation uses Vantage with managed access, administrators do not automatically receive access to a user's plotsheets or uploaded images merely because they assign access.
Vantage may process plotsheet images using OCR, image processing, handwriting recognition, and AI-assisted features as described in this policy.
B. Shootr Competitions
Shootr Competitions is not private in the same way as Vantage.
If you enter a competition, your information may be used and shared for event administration.
This may include publication of your name, club, school, team, entry details, squadding, scores, rankings, prize information, and results.
Some competition records may be retained long-term or permanently as part of the historical record of an event.
If you do not agree to competition entry information and results being used in this way, you should not enter the event.
C. Plotsheets
Plotsheets allows users to generate and customise shooting plotsheets.
Depending on how the tool is used, we may process or store information such as:
- selected plotsheet type or style;
- zoom level;
- number of rows;
- gridline preferences;
- layout settings;
- saved favourites or presets;
- names or labels given to favourites;
- export, download, or print settings;
- account identifiers, where favourites are saved to an account;
- technical and usage information.
Saved favourites and presets are provided as a convenience feature. They are not intended to be a permanent archive.
You should avoid putting unnecessary personal information into favourite names, labels, or free-text fields.
If Plotsheets uses browser storage, local storage, or similar technologies to remember settings, this may be described in the Cookie and Analytics Notice.
16. Changes to this Privacy Policy
We may update this Privacy Policy from time to time.
If we make significant changes, we may notify users within the Services, by email, or by another appropriate method.
The latest version will be made available within the Services.
